TOPS [ONE] Update

    The TOPS [ONE] development team is adding multiple new additions and updates to the platform today.

    The following new releases will be live in TOPS [ONE] today. As a web-based product, there is no action for TOPS [ONE] users to take. Your TOPS [ONE] platform will automatically be updated in the cloud.

    Here's what's new:



    • The timer for automatic log out has been increased to 8 hours
    • Improved several issues with the interface when using TOPS [ONE] on a mobile device


    • Global Search
      • Altered search to give Communities priority over other agents (Owners, Vendors, Banks, etc.)

    • Menu
      • Menu will highlight current sub-menu page when selected:



    • Activity Feed
      • Check batches will no longer appear as a separate/additional entry on the community feed


    • Edit Property
      • Users will now be able to edit a single property's recurring charge codes (add, remove, and modify). This information will be visible on the property's profile as well. Note: Users will need AR Code Read access to view assigned codes and Update access to edit:


    Accounts Receivable

    • General
      • Updates to the UI for most AR pages:
      • Resolved issues with editing accrued AR transactions

    • Apply Prepaid
      • Resolved an issue where valid prepaid candidates were not being found

    • Cash Receipts
      • The list of codes paid by cash receipts in the activity feed will now accurately display on the codes that were paid

    • Collections
      • Minimum Liability and Days Delinquent will both be checked now when determining collection status
      • 'Hold Delinquency Note' will now correctly freeze the property from being processed further in collections
      • Editing a property's collection status during the Accrue phase will now work as expected
      • Collection status will now only be applied to the property once the transaction is posted, rather than when accrued. 

    General Ledger

    • Chart of Accounts
      • Accounts with a leading zero (e.g. 01310) will be treated as unique when saving edits to the Chart of Accounts



    • Tickets
      • "Closed Date" has been surfaced on all management tickets. This can be edited as well and will be included on the management reports:

    Work Order

    • Work Order Tickets
      • Resolved an issue where work orders from deleted communities were appearing when 'All Communties' was selected


    • Violation Letters
      • Resolved an issue where images were not appearing on violation letters



    • New Reports
      • Added the 'Fund Balance Sheet - By Range' report
      • Added the 'Reserve Statement - By Range' report
      • Added the 'Service Request' report

    • Aged Owner Balance
      • Fixed problem where certain owners with a balance were not appearing
      • Resolved an issue where balance paid with prepaid continued to show on the report

    • Annual Meeting
      • Added an option to 'Mark Delinquent Owners'. This will place an asterisk next to the owner's name if their balance is greater that $0.00
      • When sorted by Last Name, the export will create separate pages for each new letter:

    • Audit Log
      • Renamed 'Event Date' column to 'Posted Date' and 'Modified Date' to 'Processed Date'

    • Collections Report
      • Several improvements to increase report accuracy

    • GL Reports
      • Improved report load time for all GL reports

    • Owner Summary
      • Resolved an issue where owners with the same name (e.g. John Smith) would cause the report to error or not display all owners 


    • Send Letter
      • Resolved error when trying to send via print or email
      • Improved page load time

    • Merge Codes
      • Added a comma between the City and State for <<OwnerNameMailingAddress>> ouput

    Owner Access

    Admin / Setup

    • Registration Letters
      • Resolved issue where letters were not generating for some clients
      • Registration letters will now correctly use the default template when applicable

    • Community Settings
      • The 'Apply to All' button will not correctly a community's settings to all communities
