HOW TO MAKE A QUICK COPY OF YOUR GENERAL LEDGER

The General Ledger in TOPS is the heart of your accounting. If you are uncertain about making some new entries (journal entries, for example) and would like the option to revert back to a previous General Ledger, here's how you can make a quick backup of the GL:

    1. Go to GL > Close Year. Click on the "Close Year" tab.
Just by clicking "Close Year" a quick copy of the GL (as it stands at that moment) is made. You may see a small window quickly flash on screen. The backup is made. It's inside the "GLBACK" folder.
    2. Close the window or click "Cancel." Do not proceed with "End Year Closing." That's it!
    3. If you need restore the GL, TOPS Technical Support will walk you through the process of restoring the backup.

Did you know that TOPS offers a complete file backup service? Tip: If you are already using TOPS' backup service or are using a 3rd party service, it is best to set the backup time to when no users are working in TOPS.
