Module Listing

TOPS On-Site™ begins with the basic system, which includes the Owner Database, Administration, Utilities, and Global Functions. Additional modules and add-on features may be purchased separately as per your needs.   

Owner Database

Track owner names, address, phone numbers, and other contact information. Print owner reports including annual meeting formats, mailing labels, and form letters

Administration

Activate user names and password security. Setup menu access security and community assignment grouping. Maintain system settings and master file data.

Utilities

Repair damaged data files. Fix out of balance ledgers. Maintain system security key. Share owner database with TOPS v3.2.1™

CC&R Enforcement

Handle violations to covenants and rules. Track approved changes to homes. Send custom letters and notices regarding violations. Embed digital pictures into CC&R records and print pictures in letters. Keep a history of all enforcement actions taken. Palm Pilot interface available for on-site CC&R inspections.

Work Order

Authorize repair work and issue job tickets. Track status of repairs to units or common areas. Create service requests to investigate complaints prior to issuing a work order. Maintain a history of work orders and service requests for each community. Palm Pilot interface available for on-site work inspections.

Gate Security/Visitors

Setup permanent and temporary community visitors for use by an attended guard gate/station. Search visitors to verify access. Print gate passes and parking decals as needed for visitors or residents. Track vehicles and maintain a visitor log history, which can be printed. Palm Pilot interface available for on-site parking enforcement.

Pool Pass

Issue pool passes and track pool membership for each home. Print special delinquency reports to enforce payment for use of the pool facility. Print pool membership reports, and design, print, and laminate your own unique pool passes with a digital picture using Avery label stock.

Global Functions

Perform functions across more than one community, such as lockbox cash receipt processing, direct debit processing, print community officer mailing labels or owner name searches.

Palm Pilot Interface

Use your Palm Compatible Hand Held Organizer to track CC&Rs, Work Orders, Gate Security, and Vendors. The interface syncs directly to TOPS On-Site™ to allow you to make changes in the field and have those changes reflected at the office.

TOPS Community Web Sites

TOPS Community web sites upload community data from TOPS On-Site™ to a predefined web site. Communities can store legal documents, community event calendars, rules & regulations, and owner payment data online for easy access any time!

TOPS Internet Backup

Automatically perform backups of your important TOPS data with our automated Internet Backup. Setup is as simple as 1-2-3, and backups are performed automatically based on a schedule that YOU set!
