On the Cutting Edge

We have been using TOPS software for over five years now. Just recently, we became the new management company for an association whose books were being kept on Quickbooks---the software we used prior to TOPS. While Quickbooks has its place in accounting software, it doesn’t come close to TOPS for use in community association management and accounting. Talk about memory flashes!!!---I can remember when we spent hours manipulating reports to resemble what we produce now with just a click. TOPS has been such a timesaver for us, and with the newer features that have been added over the years, I cannot imagine managing communities without TOPS.

When we make presentations to new communities, we always point out that the software we use is second to none. The integration with community websites is a real plus when making our presentations. Thank you so much for keeping us on the cutting edge!

User Friendly

I just purchased this program and was only installed last week and I have not had time to practice. I always had assistants do all my computer work and all the companies for which I worked had very large accounting departments. I was a porfolio manager and was never in the office. But, with this new job, we just started a property management division and until we get it going I have to learn this program.

I love it. It is user friendly and even I can understand it.

A Great Investment

Prior to forming my own company I worked in a very large firm that used [a competitor]. The financial types seemed to love [competitor], but I and most of my community Board members, found the reports very difficult to read because of the incredibly small font. Better for Bookkeepers

I just had to stop my busy frantic schedule of working weekends to let you know I just finished my first month end on version 3.1. I SO LOVE IT!!

You just made my job as an end of the month auditor and bookkeeper hours easier. I love the view accounts scroll function. Love that when I go back into view it remembers and highlights the last account number I chose, (believe it or not that is really helpful) the fact I don't have to scroll with my mouse through the whole chart of accounts, it sits in my expenses. I love the page down function. I love that I can look back at the prior year with preserving my history.

Anyway, TOPS is getting better and better. Thanks for listening to those bookkeepers out there.

Most Efficient

I first started doing business with TOPS late in 1996, I was new in the residential management business and was looking for a software program to handle my accounting.

At the time I managed 26 associations, with THREE people in the accounting department.

I found the software extremely easy to use and if the 30 day demo had not run out I would not have called you.

Understandable, Easy to Read Reports

We prefer the TOPS condominium association software accounting package to other packages that we have used because it really is TOPS! TOPS' user-friendly program offers the capabilities that allow us to report to our associations in an understandable easy to read format. Values and Efficienceies in Day to Day Management

After starting Best Fit Solutions, LLC, the Treasurer of our own neighborhood association hired Best Fit Solutions, LLC to clean up the accounting records and to assist in the day-to-day accounting related affairs of our Association on a go forward basis.

Once I began the efforts of cleaning up our Associations records, I quickly discovered that our Association had already purchased TOPS 2000™. I originally had thoughts of recommending that our Association utilize an “off the shelf” software package, and not to rely on a “smaller” third party vendor for their software needs.

However, after working with TOPS 2000™ for only a couple of days, I quickly realized the value and efficiencies it creates in the day to day management of an Association, with features such as work orders, deed restrictions, palm pilot interface, owner database, mailing labels, etc.

Upon assuming the accounting related functions for my own community and never being exposed to TOPS Software previously, I was very impressed at the ease in which TOPS 2000™ is able to generate invoices for all owners in a community and printing the respective mailing labels. This was particularly useful when the Association was already late in issuing such invoices and this feature was an enormous time saver.

I now know that TOPS is a fully integrated package that allows my customers to be as efficient as possible and be able to provide timely and accurate reporting to the Board of Directors of each Community they serve. This is all accomplished via a user friendly and intuitive software package that TOPS Software provides.

The standard financial reports that TOPS 2000™ generates are very useful when attempting to explain the financial information of an Association to “non accounting” individuals. Since the financial affairs of an Association are its lifeblood, these reports are extremely beneficial in these circumstances.

Follows the Standards

After working with four other property management systems, I realized the importance of software exclusive to our needs, and after researching all programs available on the Internet; I was most impressed with TOPS.

I chose TOPS because in starting up a new business I knew I would not have the time to learn a complicated program, I am aware of a software program that a manager of 30 years was not able to learn and had to fly to the corporate office for one on one training. I love the fact that TOPS is windows based, addresses every area of community management and is user friendly. Also we wanted to use accrual accounting with the capability of reserve fund format as recommended for community associations by AICPA (American Institute of Certified Public Accountants). We are able to do that with TOPS.

Field Master not only works with Association Members in management of their community, we also work with Developers/builder during the building stage. TOPS communication tools and management software allows us to aid the Developer in getting the community off on the right foot by building a solid association foundation. TOPS website also allow us to provide the Developer with the ability to communicate with buyers on the progress of their home, and to display homes for sale along with pictures and floor plans.

An area where TOPS has been a tremendous benefit to our company is in collections. Before we had Tops we were frequently asked about direct debit options. TOPS allowed us to offer direct debit and lockbox services, if fact we strongly advise it. Eliminating the number of hands owners checks pass through minimizes the chance of lost or forgotten payments, late charges and errors in posting. The tracking of delinquent payment and the form letter tool makes collection simple. This all has proven to reduce delinquencies, which as we all know is crucial in managing finances necessary for successful operations of a community.

Most software programs on the market for property management focus on rental and leasing. Most property management companies that do both rental and community association management must focus on rentals because it requires the majority of their attention. We were delighted to find there is software created exclusively for C.A. management because that is what Field Master does, exclusively manage community associations. TOPS provides all the necessary elements to professionally manage community associations.

TOPS is a complete program best suited for community association management. I spent 6 months putting together ideas to build my company, and the last year putting it to motion. My goal is to resolve all the problems of managing communities and build a surefire method for safe, detailed, by the book management. Finding TOPS solved half of that building process for me, because they too have the best practices in mind for community management. My advice? Look no further.

Through TOPS, we bring a community web site to every community we manage. We practice open communication and fair and reasonable governance. We have found and will continue to seek out the best possible practices in our industry. TOPS has been a big part in helping us along our journey in building the best management company possible.

Easy to Use, with Very Good Accounting Functionality

I chose TOPS after testing demo software from several vendors and found TOPS to be a very user friendly package with very good accounting functionality. I believe the most important benefit of TOPS is its ease of use. The software allows personnel with limited accounting knowledge to keep track of their association records in an efficient and professional manner.

I installed TOPS at an association client who consistently provided my firm with poor records year after year using a very popular off the shelf accounting software. After installing and training their two person staff, we returned the very next year to find their records to be in the best shape they had ever been, by far! The staff is not very well trained in accounting, but with the integrated functionality of the software, TOPS prevented them from making some of the errors they had in the past.

I have had several instances such as this, and TOPS has proven to be an exceptional tool in assisting my clients with both their accounting and management needs. I look forward to seeing the improvement which will be released in the next update, and recommend that all TOPS users look at the newest versions to see how many improvements have been made over the past few years.

A Clear Winner

HMS purchased TOPS 2000™ in October 2001. We initially began training our staff and converting our client information in late 2001 with the intent of a complete switch to TOPS beginning January 1st, 2002. Our schedule was successfully met including, some custom programming performed by the TOPS staff. With the help of the TOPS staff, and Mike Furnia (an independent TOPS trainer), HMS converted all our processes in one step.

Selecting TOPS was a tough call. There are several good packages available, but we felt that TOPS had several advantages, including:

  • Most breadth of functionality
  • Stable company providing the product
  • Accessible support services
  • Proven product enhancement record

These items, along with the reasonable cost for a firm our size, put TOPS a clear winner.

Our Accounting Manger, Bonnie Jirschele appreciates the flexibility while assessing late charges and late interest. Because we provide clients several differing payment options, she says “The ability to edit charges before they are posted has been a great help”.

Our prior software did not have a mail-merge function, and that made sending letters a cumbersome task. Both Bonnie (Accounting) and our Services Manager, Carole Martucci have utilized the TOPS Form Letter Manager to greatly reduce the time it takes to print notices such as, late notices, proxy’s and other standard letters. Our management staff likes the ability to generate letters to one or a group of homeowners.

I’m not sure that there is only one benefit that we have realized. Bonnie likes the ability to write notes directly into the A/R module… “A really good feature”, she says. “When a homeowner calls, being able to write notes directly into their file gives us a history that would be harder to maintain if the function were not available. HMS staff always has instant information when talking to a customer.” However, clients don’t directly SEE that kind of benefit. Our recent conversion to sending financial reports to Board members via email is a benefit that the Board sees every month.

TOPS, like any software, isn’t perfect. However, it does the job well, and TOPS Software, LLC continues to make valuable improvements (like job streaming). HMS is satisfied with the functionality and the support service. And that’s what counts!

Cuts Processing Time in Half

As an independent accountant for property management associations, I have used TOPS Software for the past 15 years with good reason. The general ledger provides a sense of security to the board of directors since all entries are recorded in real time and can not be altered or deleted as with some of those over-the-counter software packages sold in office supply stores. Yet, as a distributor, I am still amazed when demonstrating TOPS as to how many associations are using that packaged bookkeeping software.

What I find most exciting are the time saving features built into TOPS. Each month I prepare financial reports for over 40-condominium association and by using recurring journal entries to record transactions such as bank interest and charges, debits for Internet fees, reserve funding and inter-fund transfers I can expedite this monthly task. With over 200 entries to record each month, I can feel confident that these transactions will be recorded in a timely and accurate form.

I recently set up an association of 1400 homes in New Jersey. When we finished our training sessions and they were up and running the accounting supervisor said to me, “What are we going to do with all of our time? TOPS cut our processing time in half. Now we can get into some other areas we have let go in the past.”

T. W. Finnerty Property Management, Inc. was established in 1994. Over the years we comprised a client register of over 35 condominium and homeowners associations.

Our success in the property management business can be attributed to the utilization of TOPS Software. This program has enabled us to organize every aspect of management, i.e., bank accounts, receivables, late charges, payables, budgets, vendor histories, covenant restriction letters, letters, notes, service requests, pool passes, etc. into one computer program - TOPS 2000™. State of the Art

Brown Property Management chose TOPS Software because TOPS provides state-of-the-art computerized accounting, service order, violation reporting and tracking systems, which helps us better serve our communities.

In March of 2003, Brown Property Management joined TOPS Software's web site customers by converting our existing site over to a TOPS Management Company site. The same month BPM signed up five communities for websites. They really sell themselves.

For BPM, The major selling point of the TOPS Community Web Sites is that they link our customers to our TOPS software, which allows them to see their accounting information, 12-month history, and financial reports. We also like the ability to track upcoming events and store each community's governing documents online.

We promote the websites as a tool for all our communities and all those that are seeking management services. We have found that a number of new communities look to us because of the state-of-the-art web interfaces that we can offer. Several new clients have joined BPM as a result of our ability to offer an integrated web presence.

TOPS web support has always been helpful and on time for any questions and concerns that we have had. Web site setups are done quickly and changes can be made easily with very little up-front training required.
