TOPS Web Sites Updates - 2007

Beautiful new "email newsletter templates" released, one for each season!

When a reservation is approved or denied, the email sent back to the requester now comes from the approver (or denier) and not the web site administrator.

Added the ability to adjust the width of horizontal menu items.

Hotlinks feature now supports linking to secure sites (HTTPS).

Added the ability to include variable sized "spacers" or gaps in a horizontal menu.

Resource contacts and reservation administrators can now approve or deny reservations directly from the "List all reservations" screen in addition to using the "Approve Reservations" screen if desired.

Resolved an issue with the status of certain invoices.

Enhanced the uniformity of text color stratification of "Pending" reservations on the main reservations screen.

The Email sending feature will now automatically block email attachments greater than 2 MBs in eMail Bulletins, Announcements, and eForm features to ensure a greater email sent success rates and improve overall system performance.

The Email Bulletin feature now allows sending of login/password info along with email bulletin sent from new Events Calendar entry screen if you choose.

Created a "Back to Top" link at the bottom of the Message Board Topic screen to allow for better screen navigation from top to bottom.

Enabled a user swap link in Message Boards for users who share a login to post their messages under the correct name. For example, "Welcome Jane, click here if you are Joe," such that Joe and Jane can select themselves based on which of them is writing the message.

The system now automatically sends a "Request Denied" email to Login Requester if the request is denied by approver.

Implemented a security level check of Email Bulletin Category before revealing it in the "What's New" screen.

Pre-designed email templates now available in eMail Bulletins.

Documents can now be sorted by date, description, file size or sequence number. Contact Web Support to set a default sort order.

Added a "Feature Description" option for the FAQ feature.

Added a "side bar text" feature description to allow sites to have a custom right-hand side bar. Please contact Web Support to turn this feature on.

Added an "Instructions" field for each resource in reservations. Information in this field will show at the top of the "Reservation" screen for that resource to give instructions on how to make a reservation.

Cleared out unintended extra information from the Reservation "auto responder" email.

Enhanced drop down custom questions under Reservations to ensure that user selects a valid drop down item in a custom Reservation question when the first choice is "--Please Select--" and the question is marked as "Required."

Reservations List now only shows the first 1500 reservations to avoid "time out" errors.

Enhanced website features to include "Add/Edit/Delete..." links where previously unavailable.

Module Category, Sub-category and Item edit pages now have links back to the appropriate list page.

Added improved wording and new images to the top of the "Pay Dues" screens.

Added a bank balance "AS-OF date" to the summary page of the Online A/P Invoice feature (comes from the TOPS data load) to inform viewer of the date of the current balance.

In Documents and Modules, communities can now turn off the "Adobe download" link completely if desired. Please contact support to assist you with this.

The user interface in Reservations has been enhanced with new buttons for easier navigation and functionality.

In Announcements, fixed the problem of email bulletins being sent by users with no email address in their profile.

Fixed the edit and delete links in the Calendar so that they show up for the proper security levels.

Fixed the problem in the "Login Request List" where the column sorting was taking you back to first tab everytime.

In Email Bulletins, added a link at the end of "send to all" to allow an export of address labels for those users without an email address in their profile.

A "spacer" can now be added between links in the Horizontal menus, allowing separation of different link sections.

Added a new option in the Address Book Report export for "only those with no email address."

Removed the bad "help" link at the top of the page in Reservations.

Added an option to always save Email Bulletin Announcements so that they are not automatically purged from the Announcements feature after a period of time has expired.

Administrators can now add, edit and delete "Login Request" approvers, having as many as they want.

New questions may now be activated on the Login Request form to request or disable the requestor's Address or Lot/Unit #.

Corrected a rare navigation issue in Reservations.

Administrators can now set a "View Security Level" by resource to restrict access for reservations by specific resource.

Administrators can now set a limit on the number of Reservations allowed per day, per resident at the Facility level in addition to the Resource level.  So, for example, you can now restrict residents to no more than 3 tennis court reservations per day, regardless of the particular court.

Reservations now "remembers" what date, facility and resource you had selected as you move around the Reservation feature so you do not have to re-select this information when you are ready to make a reservation.

Administrators can now setup a custom "auto response" message, for each resource, that gets emailed to the resident upon requesting a reservation.

The "Pending Reservations" list now has a hyperlink to the full details of each reservation (using the description field).

Resource Contacts can now view the "List All Reservations" screen. This option is limited to only those resources for which they are contacts.

The "My Reservation" screen now allows sorting on the column headers.

When an eForm is submitted from the private area of the website the email now includes the information about the person who submitted it from their profile.

When a "recipient assignment" field is placed on an Eform, it is now always set as "Required" and a new "Please Select" option is added to the top of the list.

A linking issue was corrected that prevented the Message Board from displaying properly when linking from a notification email.

Added a new Login Request Matching Feature that allows administrators to match and approve login requests from the web site and automatically send an email to the requestor with their login name and password. [More]

Added a new tab to the Account Info screen: "Visitor Passes". This tab allows users of the Gate Security module of TOPS v3.2.1™ to upload visitor gate passes for owner review. The "Vehicle Pass" tab has also been renamed to "Vehicles"

A new email method is available to help prevent bouncebacks on mass emails sent from the eBulletins feature on the community web site. [More]

The First Name and Last Name fields on the "Forgot Login" feature may now be disabled, leaving only the email address field. Please send an email to websupport@topssoft.com if you would like these fields disabled.

The primary phone number on the User Profile is now synchronized back into TOPS v3.2.1™ when an upload is performed.

Updated the Online AP Approval so that the vendor name is now included on the Pending Invoices, Fully Approved Invoices, and the Disapproved Invoices tabs on the web site.

Made an adjustment to the way an owner's 12-month history is displayed on the web site so that items spanning multiple lines do not display a .00 balance.

Checkboxes will now be displayed as checkboxes in the email received by eform recipients. (as opposed to the words True or False)

Corrected some formatting on the FAQ feature.

We have altered the method in which files are uploaded to the web sites. This should significantly reduce both the size of the uploads, as well as the time it takes to upload files to the web sites. As a result, we expect to see less timeouts and corruptions of data uploaded due to large file sizes. Please make sure that you update your TOPS program files to receive this update.

We have switched to more user friendly error messages when an upload is performed and a user does not use or has not selected a particular TOPS module to upload.

We have made some alterations to the way Email Bulletins are handled. This should result in fewer problems when sending mass emails.

Photo Album slide shows may now be embedded into the public or private home page. This would allow the administrator to display an editable slide show on their home pages without the need for manually altering flash files. If you would like to activate this for your web site, please email websupport@topssoft.com and let us know which album you would like us to embed, and on which page (public or private home) you would like it to be displayed.

Photo Album comments will now display when editing captions.

Album view in Photo Albums now shows the number of comments in that album.

Added speed indicators to Photo Album slide shows along with back & next links.

Increased the size of the photo album description text box for visual clarity.

Several minor corrections have been made to the horizontal menus to improve compatibility.

Documents will now automatically open in a new site window for all frameless sites to allow for a full screen experience when viewing documents.

When eforms are created via an Announcement, they will now display under the correct name in the "View/Export Submitted eForms" section of eforms.

Corrected error in the Reservation description that caused the description to appear as a series of colons.

Corrected cancel button when editing a FAQ so it correctly returns the user to the previous section.

Removed the edit subcategory link on the item level (3rd tier) of custom modules.

FAQs may now be viewable on the Public side of the site with security level 100.

Surveys can now have a view level security setting, for example a survey may now be set to level 50 to only be visible to Board members.

New surveys will now show in what's new based on the user's security level. (if they have the security clearance to be able to view that particular survey).

Corrected "Purge all calendar events" feature so that events cannot be purged if they are in the future.
