Print Invoices and Statements

Whew, this HOA business is tough. I might just have to go back
to loan-sharking for a while to get some vacation. Reminding a client
to pay up in TOPS v3.2.1™ can be done several different ways.
You may choose from payment coupons, invoices, statements, or a
combination of the three with no violence involved. Leave the gun.
Take the cannoli.
When using the invoices and statements options, we know that you
know that we know that you want to show the charges on the owner's
account prior to the charges being actually applied to the account.
Charges can be shown on the invoice or statement without the charge
being applied to the account. Bada Bing. When printing invoices
or statements through the AR, Bills and Coupons, Bills section of
the program, there are two options: 'Statements' and 'Invoices'.
Using Statements
The statement will show a beginning balance as of a start date,
and include all activity on the account until the end date. There
is an option to "Include future charges". This feature
will look at the recurring charge table and include the upcoming
charges on the statement.
Using Invoices
Invoices always include the future charges. The invoice will show
a homeowners balance as of a cut off date, and then include next
period's charges. It is important to use this function and not apply
assessments in advance.
Applying assessments in advance can cause problems in the accounts
receivables. Listen as I tell you this now or something unfortunate
may befall you. If charges are applied in advance, and cash receipts
are then made on that account prior to the future date that the
assessment was applied for, negative amounts will appear on the
delinquency report. Using the 'Include future charges' or 'Invoices'
options will help prevent this type of problem.
I don't like violence, I'm a businessman. Blood is a big expense.
But, that aside, let me say that I swear, on the souls of my grandchildren,
that I will not be the one to break the peace we've made here today.
