TOPS Software regularly receives suggestions from customer to help us improve our products and services. We would like to share these suggestions, and our responses with you, both to give you an idea of what new features we are working on, and also to encourage you to share your own ideas with us.

This article marks the first in our new monthly series highlighting some great ideas that are on the drawing board for the next version of TOPS.

Exporting TOPS Data

Dear TOPS:

I would like the next version of TOPS to have a user friendly relational database software that would allow us to easily download AR, AP and GL data to EXCEL spreadsheets so we could customize reports.

Yes Victoria, there is a Santa Claus!

We have built our new database structure in MySQL format, one of the most cutting edge relational database formats on the market today. And the icing on the cake is, we are building a custom report engine into the software so that you can add any fields from any table to create your own custom reports inside the program. The data that you produce will be able to be exported in a large range of formats, including CSV, which is a standard Excel import format.

Just FYI, in TOPS v3.2.1™ you can currently use the Custom Report Export Utility to export an entire community's data into MS Access format, which can also be pulled into Excel. We have included an article in this month's issue of onTOPS, that guides you through how to run the export and pull the Access data into Excel. (http://www.topssoft.com/Support/tips-n-tricks/utilities.html). This article walks through a particular set of data (owners), but the principles can easily be applied to any other data.
