TOPS Goes Global

No, this doesn't refer to TOPS going international. What we mean by "Global" is that TOPS is working on more global functionality across communities. We understand that being able to process globally offers tremendous efficiencies to our portfolio management customers. We're working on more global functions so, no matter how big your management company grows, you cannot outgrow the capabilities of TOPS.

Starting last year, we began working on adding new global functionality in TOPS. We changed CCR/ACC Enforcement by releasing CC&R Batch Letters (Under CC&R > Violation Actions), where a property manager could take action and print violation letters for groups of communities without changing communities. Another update was CC&R Batch Entry (Under CC&R > Batches), which provides the ability to create batch violations across communities where a property manager could quickly enter the results of inspections across groups of communities.

This year we’re taking TOPS further into the global processing sphere with a number of new enhancements to TOPS v3.2.1™:

• Calendar/Scheduler – set reminders and To Do’s. Schedule TOPS functions and click through to execute them. Be reminded of CCR follow-up actions and click through to take care of them. The calendar imports/exports to MS Outlook®. Be sure to read the article in this eZine that discusses the new Calendar feature.
• Unlimited Flex Data – the previous flex data fields were limited to 5. The new flex data allows for unlimited fields. Also, each field can be defined to be text, date, number, dollars, etc. Search capabilities let you quickly find matching flex data. New reports let you select what flex fields to include. You can truly customize the owner data for any community you manage.
• TOPS Mobile Manager – an all new release of our popular PDA application rewritten in Microsoft .NET for more compatibility with a wider variety of PDAs. Have all the information you need at your fingertips for field inspections and after hour on-call emergencies.
• Global AP – a totally revamped interface that transforms the old Global AP into an easier, more efficient way to process AP. No need to change communities, just stay in one place and enter invoices for multiple communities, post them, and print checks. This will bring the utmost in efficiency to your AP processing.

These new global enhancements are in the final stages of testing by our new Q & A Department and will be ready for general release within the next 30 to 60 days.

Other pending enhancements to TOPS v3.2.1™ will also bring new capabilities and efficiencies to your office. These include:

• Job Streaming – a totally revamped wizard interface with more functions added. Create processing jobs across groups of communities for repetitive tasks, like Applying Late Fees. Jobs can be “scheduled” for execution in off hours.
• Global Reports – new reports with a new look, printed for multiple communities. Reports include bank balances, vendor info, vendor insurance, community financial summaries and more. Get a quick view of the status of all communities using these new global reports.
• Budget Development – a spreadsheet like budget entry screen with budget notes. Import/export the budget to Excel® or other applications. But why use Excel® for budgeting when this new budget utility gives you such similar functions?

There are a lot of other enhancements to TOPS v3.2.1™ in the development pipeline. Our goal is to give you better, more efficient ways to use TOPS in your day-to-day operation to save you time and make your job easier. Stay tuned for lots of new capabilities in TOPS v3.2.1™, while we work on the next generation of TOPS (code named Viper) which will have its first phase release in 2008.
