TOPS v3.2.1™ Expands Global Functions

In general, there are two types of customers who use TOPS Software, management companies and self-managed communities. Because management companies can have very large portfolios, the ability to perform tasks across multiple communities offers real time-savings and efficiency.

Responding to this need, we have improved the global functionality in TOPS v3.2.1™, greatly increasing productivity for our management company customers. The new, improved TOPS v3.2.1™ global functions module includes:

Global Search

Use Global Search to search across all communities to locate the following:

• Owner Name – Find an owner by last name
• Street Names – Lookup a street name, and all the homes on that street
• Owner Check #'s – Find the owner who paid by a certain check #

Global Reports

New! Global Reports enables you to compile data across some or all communities allowing you to run special predefined reports. Examples of these reports include: Communities At A Glance, Property Resale Count, Vendor Insurance Expiration; Bank Accounts Summary; Community Financial Summaries, Open Work Orders by Vendor; and more!

In addition to the reporting options, Global Reports provides another exciting feature called Lookup. This feature enables you to perform a drill-down search into data compiled from multiple associations. For example, you can search for an AP check by check number, or find an owner by phone number.

Global Officer Labels

The Officer Labels function allows you to print mailing labels for community officers for some or all communities. Great for handling a newsletter or general mailing for officers in managed communities.

Global Lockbox

Doing the cash receipts for your portfolio of communities just got easier. Receive a lockbox cash receipts file from your bank. Create cash receipt batches across all communities with a few clicks of the mouse. Print separate deposit reports for each community with cash receipts. In minutes, you are done with the cash receipt processing for the day.

Scan Payments

Scanning Payments is the most efficient way to process checks coming into the office. Using a specially configured scanner available from TOPS Software, scan the actual owner checks. The scan line on the check is linked to an owners account so it automatically posts the payment to the correct owner. A printed deposit report and bank deposit ticket is printed for each community.

Direct Debit

Make doing business easier for your community homeowners by providing an automated way to handle cash receipts. At the beginning of each billing period, generate an ACH payment file for those owners who have authorized payment by Direct Debit. Your bank will take this file, put it through the Federal Reserve Clearing House, then deposit the money automatically into the community's bank account.

A deposit report for each community is automatically printed by TOPS when the ACH file is created. This puts you in charge of when owners make payments, and it only takes a few minutes to do this each period.

Global AP

New! Global AP is a collection of new streamlined processes for handling accounts payable. Enter vendor invoices to be paid from a new global interface without having to change communities.

Globally select invoices for payment. Print checks globally using our MICR Check Printing module (required) with overdraft protection warnings for any community that would end with a negative balance.

The Global Functions module offers tremendous gains in efficiency and productivity, resulting in big savings in staff time and expense. The benefits appeal to all TOPS customers, but management companies in particular see the greatest benefit from global processing, being able to manage more communities with less staff.

Since TOPS Software launched its initial software product back in 1985, Global Functions has always been included as part of the "Basic System". But under TOPS v3.2.1™, Global Functions has now become an "optional" module, meaning, NEW customers buying TOPS v3.2.1™ will have to pay for this module.

There is NO COST for Global Functions to EXISTING CUSTOMERS–you will get Global Functions as part of the version 3.2.1 update at no additional charge.
