We are in the technology age, and there are so many products out there to make life easier. One of these items is the hand held device, be it a Palm Pilot or a Pocket PC. They are so much more convenient, and there are so many more functions that are available than you could ever have had with your Day Timer. Best of all, TOPS Software interfaces with these devices.

The TOPS Mobile PDA is a program that allows your hand held device to synchronize with your TOPS Software. You can upload the Owner Database (including renters), Community Officers, and the Community Fact Sheet to your hand held device, and if you have purchased the add-on modules, you can also upload CCR/ACC Enforcement data, Pool Passes, Work Orders, Service Requests, Vehicle Information, and Vendor Information. You can have all of this important information with you all of the time.

Imagine you are doing your regular property inspection; you have printed the ride list and are driving or walking through the property checking all of the homes for violations. When you come across a new violation, you grab your pen, lean the ride list on the steering wheel or a nearby tree, and jot down the lot number or address and a brief description of the violation.

Once you return to your office you either hand your ride list to administrative personnel to type into TOPS 2000™, or input the information yourself, because, let's face it, your handwriting is not as good as you think.

Now imagine doing the same thing with your hand held device. You can use the search functions to find a particular lot or address, rather than flipping through the pages of a report, you can create or close a record with a couple taps of the stylus, and then download all of your changes to your TOPS system, so that your letters can be printing within minutes of your return to the office.

There are so many possibilities for use of the TOPS Mobile PDA. You could upload information for use at board meetings. Rather than looking unorganized while you flip through your files, folders, binders, and other paperwork that always accompany you to board meetings, you can access everything you need from your hand held device.

You can answer questions that refer to specific sections of the association documents or specific statistical information on the community, look up preferred vendors, and, if you have the work order module, even create a work order or service request to investigate a possible problem situation brought up by the unit owners.

You could upload the Community Fact Sheets for all of the properties that you manage, for use by the 'on-call' manager to handle after hours emergencies. I'll bet they would be really happy to replace that bulky binder that normally stores this information with a slim, interactive hand held device.
