Speeding up the Architectural Review Process With TOPS Web Sites

Community associations that thrive rather than just survive know how to effectively communicate. One of the best ways to increase communication within a committee is to use TOPS Web Sites. An excellent example would be utilizing the Task Manager within the TOPS Community Web Site to allow the Architectural Review Committee to evaluate requests more efficiently.

The Task Manager feature is found on the private section of your TOPS Community Web Site and can be made accessible to either board members or committees. More associations are finding that the Task Manager is a great way to manage the Architectural Request process, by allowing residents to submit architectural requests via e-forms. The designated committee member then enters the request as a task and notifies each member of the committee by email. Each time a comment is made, an email is sent to the committee members. Committee members can also approve or deny the request without having a face to face meeting. The Task Manager allows you to classify the request in the following categories:

• Open – no action taken
• Hold – waiting for more information
• Closed pending – waiting for a decision
• Closed

Using the Task Manager saves committee members valuable time and expedites the Architectural Review process. Committee members have the ability to make decisions from anywhere there is Internet access. That means faster, more efficient and more productive communication for your association.
