Understanding Live Updates

Live Updates is a very powerful feature that allows TOPS Users to make real-time changes to owner data, and have those changes appear immediately on your TOPS Community Web Site. However, at this time, the Live Updates feature is strictly limited to live updates of Owner Contact Information. This includes the following fields on the web site (We have listed the TOPS equivalence in parentheses where necessary):

  • First Name (Primary Owner)
  • Last Name (Primary Owner)
  • Spouse First Name (Secondary Owner)
  • Spouse Last Name (Secondary Owner)
  • Login Name (only on initial upload)
  • Password (only on initial upload)
  • Person ID (This is the TOPS unique identifier)
  • Home Phone
  • Work Phone
  • Cell Phone (Alt. Phone)
  • Other Phone/Fax/Pager (Fax)
  • Email Address
  • Address 1 (Street Address)
  • Address 2
  • City, State, Zip (Location of Homes)
  • Lot# / Unit#
  • Alt Address 1
  • Alt Address 2
  • Alt City, State, Zip

The above fields will upload from TOPS to a web site every time a change is made in TOPS by any user, providing you are not using the "Limited Data Upload" option.

Please note that none of the accounting information or other account records are included in the live updates. These items still require a standard nightly upload:

  • Owner Account Balance
  • 12-month Account History
  • Work Orders and Service Requests
  • Violations and Architectural Requests
  • Visitor and Vehicle passes
  • Pool Passes

What all this means to you is that in addition to having Live Updates turned on in your Configure Community Upload screen, you will still need to activate the scheduler for regular nightly uploads of any data that is not included in the Live Updates. Live Updates also does not affect the "Last Upload Date" notification in the top left of your TOPS Desktop. This notification will only update when a regular upload is performed.
