Live Updates Now Available:

Our newest feature, Live Updates is now available for customers to activate. This feature allows your owner data to be updated to your web site in real time, whenever data is changed in the owner module of TOPS v3.2.1™. Live Updates is available for customers who have upgraded to TOPS v3.2.1™ only.

This new feature updates resales, owner name changes, contact changes, or address changes in real time from TOPS v3.2.1™ to your web site. You will still need to perform your regularly scheduled uploads to update such information as balances, 12 month owner account histories, violations, architectural requests, work orders, and gate passes, but owner information will be updated in real time. Full instructions to activate the Live Updates are included below.

Once Live Updates have been activated, any change made in TOPS to an owner record by any user of the TOPS v3.2.1™ system will trigger an update to the web. This means the web site updates are no longer limited to a particular machine or individual in your office.

Aside from instant updates of owner data to your community web sites, Live Updates can help resolve some of the other issues that our customers report from time to time, such as data lost due to dropped connections. In the old upload system, if an Internet connection is disconnected during a large data transfer, that data gets dropped. This does not affect the bulk uploads such as balances and 12 month histories, as these data will simply get re-uploaded on the next scheduled upload, but it does affect owner data changes and resales, which are only sent to the web site one time. The Live Updates avoids this issue by reducing the ‘footprint’ on the server to micro uploads that upload instantaneously, reducing the possibility of lost data.

If for any reason your data does become out of sync, Live Updates can easily sync up again simply by rebuilding the community (Utilities, Rebuild Access Data). This feature in Live Updates eliminates the need for the “Update All” option in the Advanced Community Uploads.

Please Note: If you do not have a live Internet connection 24 hours a day, 7 days a week (broadband), or you do not have an Internet connection available for individual workstations connecting to TOPS (shared Internet connections, or workstations with no access to the Internet), we highly recommend against activating this feature.

Activating Live Updates (Approx. 7 minutes)

To activate Live Updates on your web site, follow the steps below. You must be in TOPS v3.2.1™!

If it is open, close TOPS on your computer.
Connect to the Internet and navigate to http://www.topssoft.com/downloads.htm.
Under "Program Updates" click the GO button.
Click Open, to run the update from the current location.
When the TOPS Web Updater appears, click the down arrow next to 'Select Module to Check' and Choose 'TOPS 2000'.
On the bottom right, ensure that the "Workstation Only" option is selected.
Click the "Begin Update" button. (The system may prompt you for a User ID. If so, enter in your TOPS Customer ID)
Once the update is complete, close this window and re-open TOPS v3.2.1™.
Click Internet, Community Web Sites, and Configure Community Uploads.
Check the box on the bottom of the screen labeled “Activate Live Updates”.

That’s all there is to it! This change will activate the Live Updates for all of your community web sites; it cannot be activated on an individual community basis.
